We, the Hawaiʻi Visitors and Convention Bureau, are committed to respecting and safeguarding your Personal Information and right to privacy.  This privacy policy explains our privacy practices applicable for this website (which we’ll refer to as the “Site”) and services that we provide through this Site.  In this privacy policy, we seek to explain to you in plain language what information we may collect when you use the Site, how we may use your information, what we don’t do with your information, and what rights you have in relation to your information.  We hope you take some time to read through this privacy policy carefully, as it is important.

By Personal Information, we mean any information relating to an identified or identifiable natural person.  This includes information that may identify you or that can be used, together with other information, to identify you. 

By using this Site, you consent to the use and processing of your Personal Information as described in this Privacy Policy.  If there are any terms in this privacy policy that you do not agree with, please discontinue use of the Site and the services offered through this Site. 

 

I.  Types of Information We Collect

In order to serve you better, we collect certain information including Personal Information when you use the Site.  Our primary goal in collecting information from you is to provide you with a customized experience and the information and services that you may request.  What information we collect depends on which services you are using and what you do when you visit this Site. 

We only collect Personal Information from you if provide us with the Personal Information or you affirmatively consent to our collecting your Personal Information.

A.  Information That You Provide to Us

This might include your name, postal address, email address, telephone number, Hawaiʻi travel plans and interests, etc. – information that we need in order to provide you with the information and services that you request.

For example, in order for us to create a personalized experience, send you a travel or meeting planner or e-newsletter that you may request, you will need to provide us with some Personal Information.  The information that we collect may include your name, postal address, telephone number and e-mail address.  Depending upon the circumstances, we may also ask you one or more of the following: how you heard about our services; how many times you have visited Hawaiʻi; when you plan to visit Hawaiʻi next; your reason for visiting Hawaiʻi; the islands you plan to visit; the activities that interest you; your age; who will be travelling with you; whether you have made reservations for your trip to Hawaiʻi; and whether you would like to receive destination updates and information about Hawaiʻi via e-mail.

We save the information you provide to us in order to enhance your experience for future visits, to provide you with services, and for marketing and statistical purposes.

B.  Information That We Collect Automatically

This may include information that is automatically stored by cookies (discussed below) and other session tools.  Examples of the information we collect automatically include:  (1) the Internet protocol (IP) address of the computer you are using; (2) the browser software you are using; (3) your operating system; (4) the date and time you access the Site; and (5) the Internet address of the site from which you linked directly to our Site.  This information is used to improve your customer experience.

C.  Cookies

We use cookies and/or similar technologies to analyze customer behavior, administer the Site, track users’ movements, and to collect information about users.  This is done in order to personalize and enhance your experience with us.

A cookie is a tiny text file stored on your computer.  Cookies store information that is used to help make sites work.  Only we can access the cookies created by our Site.  You can control your cookies at the browser level.

D.  Collection of Personal Information from Children

We do not intend to or knowingly collect any Personal Information from anyone under the age of 16.  If you are aware that someone under the age of 16 has provided us with Personal Information, please contact us at info@hvcb.org.

 

II.  Sharing With and Collection of Information by Third Parties

We do not share your Personal Information with third parties but we use service providers who, because they assist us in providing you with information and services, may have access to your Personal Information.

We only work with service providers who are able to ensure an adequate level of protection for your Personal Information.  Our service providers include businesses that help us maintain and enhance our services, that fulfill your travel or meeting planner requests, and/or serve you with our newsletters or email blasts.

We may, in addition, serve you advertisements or links to other websites through our Site on behalf of businesses who we believe can provide you with goods or services to enhance your visit to or meeting in Hawaiʻi.  If you respond to these advertisements or links to other websites, you will be taken to the third-party’s website.  The collection and sharing of Personal Information on third-party websites is not governed by this Privacy Policy but is instead governed by the privacy policy of the website that you are taken to.  You should review the privacy policy of each third-party business’ website before deciding whether to share your Personal Information with that third party. 

 

III.  What We Do with the Information We Collect

The primary reason why we collect information from you is to provide you with the information or services that you request and to enhance your digital interactive experience.  Services such as our personalized vacation and meeting planners would be impossible without the Personal Information that you provide to us.  If you opt-in to receive our newsletter, or request that we send you a travel guide or brochure, then we will collect your Personal Information to provide you with these materials and services.

We also use the information we collect to make sure that our Site provides you with the resources you need and the level of quality you expect.  For example, information about the sections of our Site that people visit most frequently and least frequently helps us to decide which Site features users find useful and which features may need changing.

We sometimes share with third parties certain non-personal, summary information about the people who use our Site and our services.  This information is not personally identifiable in any way and consists of facts such as the average numbers of visitors to our Site per day and the most popular sections of our Site.  None of this information can be used to personally identify you.

While we believe that the more information you have about Hawaiʻi, the more likely you are to enjoy your visit or meeting, we also understand that you value your privacy.  If you would prefer that we no longer e-mail you newsletters or updates, all you need to do is tell us.  Just contact us at info@hvcb.org and let us know about your preference.

Please be advised that we reserve the right to disclose Personal Information about you without your prior consent if we have a good faith belief that such disclosure is necessary to:  (1) conform to legal requirements or comply with valid legal processes, such as a search warrant, subpoena, or court order; (2) protect our rights or property; (3) enforce the provisions of the [link] Terms and Conditions of Use; or (4) prevent harm to you or others.

 

IV.  How We Secure Your Personal Information

We do our best to keep your Personal Information safe by maintaining current industry standards for data security including the use of updated security software and protocols and.  We use safe protocols for communication and transferring data (such as HTTPS).  We use anonymizing and pseudonymizing where suitable.  We monitor our systems for possible vulnerabilities and attacks.

We also keep your Personal Information safe by ensuring that the service providers who may be allowed access to your Personal Information commit to similar security standards.

Unfortunately, even the best security practices do not guarantee complete security of information.  However, we will notify suitable authorities of any data breach as appropriate and/or required by applicable laws and regulations.  We will also notify you if there is a threat to your rights or interests.  We will do everything we reasonably can to prevent security breaches and to assist authorities should any breaches occur.

You can help keep your Personal Information safe by selecting strong passwords and unique customer IDs, changing your password often, and not sharing your customer IDs and passwords with others.

 

V.  Your Choices with Respect to Our Collection of Your Personal Information

We will not collect your Personal Information without your affirmative consent.  Although we will not condition any benefit or service upon your agreeing to provide us which such consent, some of the information and services we provide can only be provided if you share with us your Personal Information.

You have several options when deciding what Personal Information we collect.  One option is not to consent to our collecting your Personal Information.  Another is not to volunteer any Personal Information.  However, these approaches will prevent you from taking advantage of several of our Site’s most useful features, such as receiving personalized information about what to see and do in Hawaiʻi.

Another option is to configure your Web browser to refuse all new cookies, to notify you whenever you are about to receive a new cookie, or to disable cookies completely.  However, many parts of our Site will not function properly if you choose not to allow cookies.

 

VI.    Your Rights to Find Out What Personal Information We Maintain About You, to Update and Correct that Personal Information, and to Request Erasure of Your Personal Information

Depending upon where you live, you may have the right to request that we identify the Personal Information we maintain about you, ask that we update or correct that Personal Information, and also that we delete your Personal Information.

We make reasonable efforts to honor all such requests whether or not you reside in a jurisdiction that provides you with these privacy rights.  Simply make your request by contacting us by contacting us at info@hvcb.org.

Note, however, that if your Personal Information was used to complete a transaction that you requested, we may need to preserve a record of the transaction including the Personal Information associated with the transaction.  Also, if your Personal Information is needed to complete a transaction you requested but that has not yet been completed, we may not be able to complete the transaction if we delete your Personal Information.

If you haven’t provided us with your Personal Information by completing a request for information, a planner, or other online form, then we don’t have any Personal Information about you.

For Personal Information that you may have shared with a third-party business after navigating to a third-party website, you will need to contact the third-party business regarding Personal Information they may have collected from you.

 

VII.  Questions About or Suspected Violations of This Privacy Policy

VIII.  Amendments to HVCB’s Privacy Policy

From time to time, it may be necessary for us to amend this Privacy Policy.  Please review this policy regularly so that you will be aware of any changes.  If we make any substantial changes in the way we use your Personal Information, we will notify you by posting a prominent announcement on our Site.  Your continued use of this Site indicates your acceptance of any such amendments.
